Privacy Policy

This policy explains what information Dispute Docs™ handles, why, and the choices you have. It describes how the service actually works today.

1. Who this policy covers

Dispute Docs is operations software for credit professionals. There are two different kinds of information:

  • Customer account information: information about the people and businesses who sign up for and use Dispute Docs.
  • End-client information: information a credit professional enters or saves about their own clients inside their workspace. That information belongs to the customer who entered it. Dispute Docs processes it to provide the service and does not claim ownership of it.

Legal role classifications (for example "service provider", "processor" or "controller") for end-client information have not been finalized.

2. Information we collect

Customer account information

  • Email address and password (passwords are handled by our authentication system and are not visible to us), or Google sign-in details if you choose Google.
  • Business name and job role you provide at sign-up. Job role never grants permissions.
  • Workspace membership, staff invitations and staff tool permissions.
  • Subscription status, promo codes redeemed and referral participation.

End-client information entered by customers

  • Client name, Client ID, email, phone, address, status and notes.
  • Negative account records entered by staff (creditor, account number, type, notes).
  • Finished combined PDFs that staff choose to save with "Save to client file".

Original uploads and edits in Document Prep are processed in your browser and are not uploaded. Only a finished PDF is stored, and only when a user chooses to save it.

Operations and security information

  • Sign-in session records, including the time, IP address and browser type, used to keep one active session per user and to protect accounts.
  • An activity log of important account and administrative actions.

Marketing attribution

  • On your first visit we may remember the campaign tags in the link (UTM tags), the first page you landed on, the referring website and any referral code. This is attached to new accounts only and never includes end-client information.

Payment information

Card payments are processed by Stripe. Dispute Docs does not receive or store full card numbers. We store subscription status and identifiers sent to us by Stripe.

3. How we use information

  • To provide, secure and maintain the service and your workspace.
  • To manage subscriptions, promo codes and referral rewards.
  • To provide support and send service messages about your account.
  • To understand which marketing channels bring new customers (first-touch attribution).
  • To comply with legal obligations and enforce our Terms.

We do not sell personal information and do not use end-client information for advertising. We do not send document contents to third-party AI, analytics or advertising services.

4. Service providers

We use service providers who process information on our behalf to run Dispute Docs:

  • Hosting, database, authentication and private file storage (cloud infrastructure providers).
  • Stripe, for payment processing and billing.
  • Google, only if you choose to sign in with Google.
  • Email delivery for account emails such as sign-up confirmation and password reset.
  • Web font delivery (Google Fonts), which receives your browser's IP address when fonts load.

We do not currently use third-party advertising or behavioral analytics tools on the site.

5. Cookies and browser storage

Dispute Docs uses only storage needed to run the service:

  • Sign-in session (browser storage): keeps you signed in. Required.
  • First-visit attribution and referral code (browser storage): remembered until it is attached to a new account, then removed.
  • Pending promo code (session storage): kept during Google sign-in only.
  • Payment checkout: Stripe may set its own cookies during checkout for fraud prevention.

We do not use advertising cookies or cross-site tracking pixels.

6. Sensitive information

Workspaces may contain sensitive consumer information such as identity documents, addresses and account numbers. We keep it out of URLs, filenames, referral codes, analytics and public storage. Saved PDFs are stored in private storage and opened through short-lived links.

7. Security

We use access controls enforced by the database, separate workspaces for each customer, individual user accounts, role-based staff permissions, private file storage and encrypted connections. No system is perfectly secure, and we cannot guarantee absolute security.

8. Retention

We keep account and workspace information while your account is active, and afterward as needed for billing records, legal obligations, security and dispute resolution. Canceling a subscription does not automatically delete workspace data, so it can be recovered if you return.

9. Your choices and requests

You can view and correct your clients and notes inside your workspace, and download your saved PDFs. To request access to, correction of, export of, or deletion of your account information, contact us. Some information may need to be kept for legal, billing or security reasons. End clients of our customers should contact the credit professional who holds their file first.

Privacy requests are handled manually; there is no automated self-service deletion yet.

10. State privacy laws

Depending on where you live, you may have additional rights. Applicability of laws such as the California Consumer Privacy Act has not yet been determined.

11. Children

Dispute Docs is a business tool and is not directed to children under 16. We do not knowingly collect information from children.

12. Changes

We may update this policy. The version and last-updated date appear at the top. Material changes will be communicated as appropriate.
